Employee Data Entry Methods

  • Using the Employee List interface employees can select their name from a list and clock in or out using the single clock in/out button.
  • Using the Keypad screen where employees are required to enter their badge number or employee id.
  • The Keypad interface is fully useable with a touch screen.
  • Barcode readers or magnetic card readers can be used easily with the Keypad interface. All you need to do is encode your barcodes or magnetic cards with your employee ID's and you'll be up and running in no time.
  • Optionally all employees can be required to enter a PIN to prevent buddy punching.
  • Optionally employees can be required to enter a comment on clock in or out (or even both).

Security

  • All administrative functions are only accessible with use of an administrative password.
  • Buddy punching can be reduced by requiring an employee PIN.
  • The administrative password can be required to start and stop the software, this helps to prevent users stopping the software to change the system clock and alter clock in and out times.
  • While the software is running it can monitor the system clock for changes and will lock users out if the clock is changed.

Payroll Rules

  • Any day can be defined as the start of the work week or start of the fiscal year.
  • A daily over time limit and rate can be applied.
  • A weekly over time limit and rate can be applied.
  • Overtime can be daily, weekly, or a combination of both.
  • Allows for both hourly and salaried employees.
  • An unlimited number of shifts and shift loadings can be defined.
  • An unlmited number of paid holidays can be defined.
  • Holidays can be credited against payroll and can optionally affect overtime calculations.
  • The software can allow for automatic breaks of any length.
  • All reports can be rounded to the nearest minute, six minutes, fifteen minutes, or thirty minutes.
  • Rounding can be setup to result in least time, clock ins being rounded up and clock outs being rounded down.
  • Fully configurable vacation accruals.
  • Fully configurable sick time accruals.

Reporting

  • The Working Hours report displays hours worked by day and week categorized by hour type, normal hours, daily overtime hours, weekly overtime hours, and holiday hours.
  • The Punchcard report shows paired up clock in and out times, the elapsed hours for each pair.
  • The Detailed Punchcard showing all clock in and out times along with any user or administrator notes.
  • The Payroll Summary report showing normal hours, weekly overtime hours, daily overtime hours, gross salary and holiday hours.
  • All reports can be run for one or many employees. They can also be run by shift or department.
  • Custom report headers and footers.
  • The payroll summary information can be included with every report.
  • Employees can optionally be allowed to view some reports of their own activity.
  • All reports can be exported to comma delimited text file, tab delimited text file, or directly to Microsoft Excel.
  • Raw time entry data for users can be exported to tab or comma delimited text file or directly to Microsoft Excel.
  • The backend database is completely open and someone competant with the Microsoft Access report writer can generate their own reports easily.
  • Time and Attendance Plus can optionally use an SQL Server or MSDE database as the backend database. This will result in a faster and more reliable experience, as well as allowing more Time and Attendance Plus client installations.

Configuration

  • The software can be customized to include all of your company details and have these details displayed on all reports.
  • The software includes a comprehensive employee database that stores contact details, next of kin information, and employment type (tax type or custom types).
  • Unlimited shifts and shift loadings can be defined and then employees can be assigned to these shifts.
  • Unlimited departments can be defined and then employees can be assigned to to a department.
  • Unlimited paid holidays can be defined.

Data Security

  • Includes backup and restoration of database.
  • The database can (and should) be stored on your network server.
  • All database passwords are encrypted in the database.
